  1. Online registration
    Only for long stays (more than three months) and for:

    All European students.Students from Germany, The Netherlands, France or Luxembourg have 2 options: if you want your official residence in Ghent, you have to register online; if you want to keep your official residence in your home country you have to go to the City Council, Foreigners Registration Office of your neighbourhood.  You can find a list of the addresses at 'Related info'.
    Attention: for students living in the city centre, north of St-Pieters station: only by appointment tel + 32 (0) 9 266 71 50
    For students outside the Ghent territory: go to the city hall of the city where you reside.

    Non-European students with  a Schengen visa type D: online registration.
    Non-European students without a Schengen visa type D - you enter Belgium as a tourist: you have to go the City Council, Foreigners Registration Office of your neighbourhood.  You can find a list of the addresses at 'Related info'.

  2. Address
    It is important to give the correct address because for every new person that comes to live in Ghent. A police officer has to check that you really live at your student residence. Based on this visit the police sends a positive or a negative advice to the city. If the advice is positive, the city will continue with your registration.
    If the advice is negative, the police officer conclude that you don't live at the address you gave up, we close your registration.
    Important: If you are going to live in a official student's residence of your host institution, please wait to register until you know your room number.

  3. Annexe 15
    In Dutch it calls 'Bijlage 15' and it's only for our Non-European students. It is an official confirmation of your residence application at the Migration Office in Ghent. The document confirms your temporary legal residence. It is valid for 45 days and twice renewable. Please take care of this document and keep it with you while awaiting your electronic residence card.

  4. Enrolment paper
    It is the paper that proves your inscription at your university of university college in Belgium with your personal details and a beginning and an end date of your academic year. It is NOT the letter of acceptance or invitation.
    Note: this paper can be called inschrijvingsbewijs, certificate of enrolment/registration…

  5. Nederland: ik ben Nederlander en wens mijn adres in Nederland te behouden. 
    Als je je adres in Nederland wil behouden, word je niet in het vreemdelingenregister ingeschreven. Je krijgt geen nationaal nummer.
    Je krijgt een Bijlage 33. Dit is een verblijfsdocument waar je hoofdadres in Nederland wordt vermeld en ook je tijdelijk adres in België.
    Vereist: 4 pasfoto’s en € 10.

  6. Passport photographs - specifications
    To apply for a Belgian electronic card you need to submit recent color photos with the following specifications:
    Measures: 
  • the size should be 35 mm by 45 mmThe face as seen in the photos should be min 25 mm – max 40 as measured from the bottom of the chin to the top of the head
  • In front, both ears are visible
  • The background should be white
  • You should be looking directly at the camera
  • You should keep a neutral expression with your mouth fully closed
  • Hats and other forms of head coverings are not allowed unless religious or cultural requirements make it compulsory for you to wear them.  
  • Only original photos which are clear and sharp will be accepted. Scanned images will be rejected.
    It may sound very simple, but this is what causes a lot of students to be careless and submit the wrong type of photos.

  1. PUK and PINcodes: what are these?  
    You have registrated yourself at the Foreigners Office of the City of Ghent, you've brought along all your papers and now you are waiting to receive a letter from the government with the message that your eIDcard is ready and wih your pukcode and pincode in this letter.
    Pukcode or 'Personal Unblocking Key' is needed to activate your eID. 
    Pincode or 'Personal Identification Number': use for your electronic signature. 
    As soons as you have received this letter, you'll have to go along in person to the registration office and bring along your codes of your eID card and the documents you got when the city applied for your card.

  2. Registration fee for an electronic card: how much is this? 

     - normal procedure € 17: you have your card in 3 weeks;
     - speed procedure €120: you have your card in 4 working days;
     - most urgent procedure € 185: you have your card in 2 working days.

  3. Study certificate - proof of registration at the host institution: what's important?
    Inscription of the school/university or enrolment paper.
    It is the paper that proves your inscription at an institution of higher education in Belgium with your personal details. It's NOT the letter of acceptance/invitation. 
    Pay attention: the  start and end date of the academic year or of your stay has to be on your enrolment paper.
    Note: this paper can be called: 'inschrijvingsbewijs', 'certificate of enrolment', 'certificate of registration'
